Overview
Workflow automation removes the manual hand-offs between the apps your team already uses: copying form entries into a spreadsheet, creating tasks when an order arrives, moving files between folders or notifying someone when a status changes. This service covers general operational processes across any department. If your main goal is moving leads into a CRM and producing scheduled reports from that data, our CRM, Lead & Reporting Automation service is the closer fit.
We start by mapping the process as it runs today, including the exceptions people currently handle by hand. From that map we design each workflow with clear triggers, conditions and branches, then build it on your chosen automation platform, adding Python scripts where a platform cannot cover a step. Larger projects include error alerts and run logging so failures are visible rather than silent.
You receive working, tested workflows, handover notes and, on the Advanced tier, written process documentation that explains every step, connection and failure path so your own team can maintain it.
Who it’s for
- Small and medium businesses re-keying the same data between several web apps every day
- Operations managers who want approvals, notifications and hand-offs to run without manual chasing
- Service firms with repeatable client onboarding or order-fulfilment steps
- Teams whose existing automations fail silently and need conditions, alerts and documentation
Problems it solves
- Stop staff copying the same records between apps by hand
- Route exceptions correctly instead of forcing every case down one path
- Find out quickly when an automation fails, not weeks later
- Keep a written record of how the process runs so it does not depend on one person
What RF ETS delivers
- Process map of the current and the automated workflow
- Configured and tested workflows with triggers, conditions and branching
- Error alerts and run logging on the Professional and Advanced tiers
- Python scripts for steps the automation platform cannot handle, where needed
- Written process documentation on the Advanced tier
- Handover notes on how to pause, edit and re-run each workflow
How we work
Map the current process
We walk through the task with you step by step, noting every app, data field and exception involved.
Design the workflow logic
We define triggers, conditions, branches and alert points, and confirm the plan with you before building.
Build and test
Workflows are built against your apps and tested with normal and edge-case records before going live.
Launch and hand over
We switch the workflows on, check the first live runs with you and hand over notes and documentation.
What we need from you
- Admin or API access to each app involved in the workflow
- An account on your preferred automation platform, or agreement on where scripts will run
- A description or screen recording of how the task is done today
- Sample records covering normal cases and common exceptions
How pricing works
This work varies too much for fixed packages. We scope it with you, then send a written quote with price, timeline and deliverables before any work starts.
Tell us what you need
Use the quote form or book a consultation and describe your goal, constraints and deadline.
We scope it with you
We review your material and agree deliverables, assumptions and what is out of scope.
Written quote
You receive a fixed price or milestone plan, timeline and revision terms before any work starts.
Not included
- Automation-platform subscription fees (Zapier, Make, etc.)
- Third-party costs: domains, hosting, paid plugins and themes, software licences, API or AI-model usage fees, data-provider credits
- Work outside the written scope agreed before work starts (handled as an add-on or a custom quote)
- Ongoing support after the delivery and launch-support window unless a support package is bought

Workflow & Business Process Automation: common questions
How is workflow automation priced?
The tiers above are a scope guide with 'from' prices. The final figure depends on how many apps are involved, how complex the conditions are and how well each app supports integration, so it is confirmed in your quote after we review the process.
Are automation platform subscription fees included?
No. Many workflows run on a subscription platform such as Zapier or Make, and those fees, along with any app or API charges, are paid by you. Where it makes sense we can use Python scripts instead, and we explain the cost trade-off before building.
What if we want to change a workflow or add another one later?
Each tier includes revision rounds on the workflows agreed in the written scope. New workflows or extra apps are added as an add-on or a short custom quote, so nothing changes in cost or timing without your approval.
How is this different from CRM, Lead & Reporting Automation?
Workflow automation covers general operational processes such as approvals, file handling, order steps and internal notifications. CRM, Lead & Reporting Automation focuses on capturing leads, keeping CRM records accurate and producing scheduled reports. If your process touches both, we will recommend the better fit.
What happens if a connected app changes and a workflow stops?
Professional and Advanced builds include error alerts, so you know when a run fails. Fixes during the delivery and launch-support window are covered; after that, changes caused by third-party app updates are handled through a support package or a small quote.
